- Provide project planning timelines to keep the planning on track
- Coordinate your meeting space needs on campus and liaise with local off-site venues
- Manage room blocks for delegate accommodations on campus or at local hotels
- Liaise with service providers and partners to plan food and beverage, audio-visual, set-up, transportation, printing, signage, security, parking, and equipment rentals
- Coordinate exhibitors, booths, and displays for trade shows
- Provide registration services including online registration, processing payments and refunds; troubleshooting with registrants; providing confirmations and receipts; preparing registration reports; preparing nametags; and providing conference staff to be on-site at the registration desk
- Manage details of social events and field trips including obtaining quotes, managing contracts, arranging transportation and entertainment, and providing staff to be on-site at events
- Coordinate travel for guest speakers and VIPs
- Attend committee meeting to provide advice and guidance during the planning
